Your Guide to University Car Rental Services for Cars at the University of Washington

Effective April 1, 2025, please note that the current fueling credit cards (WEX) will expire. For drivers needing new cards, they are available for pickup at the Fleet Services office.

The University of Washington (UW) provides convenient Transportation Services For Cars through the UCAR program, designed for short-term vehicle rentals for official University business. With multiple accessible locations across campus, UCAR offers rental options by the hour, day, week, or month. Automatic trip tracking is in place, and billing is directly applied to a designated UW payment worktag. All users of UCAR are required to adhere to the comprehensive Fleet Services policies.

Who is Eligible to Rent a Vehicle?

Vehicle rental services are accessible to UW faculty, staff, and students who meet specific criteria. Eligibility includes holding a valid driver’s license, having authorization to charge rental fees to a UW payment worktag, and successful completion of the Driver Safety & Awareness Training within the past two years. The UCAR rental system accommodates two user types:

  • Renters: Individuals authorized to charge to a payment worktag have full access to the system. They can make reservations, link drivers to reservations, and pick up rental vehicles.
  • Drivers: Individuals without worktag charging authorization can still participate by being linked to a reservation. They can view their assigned rentals and pick up vehicles but cannot initiate reservations themselves.

It is important to remember that UCAR vehicles are strictly for University business purposes. Any passengers must be authorized riders as per University policy. Departments may be financially responsible for vehicle damage in certain situations. For vehicle rentals exceeding 30 days, a Long-term vehicle request form (pdf) must be submitted.

How to Sign Up and Request a UCAR Rental

Before using the UCAR car rental services, registration and completion of the safety training are mandatory. You can verify your training status online.

To reserve a vehicle and associate a driver, ensure a worktag is linked to your account. Without a worktag, you can still be associated with a rental and pick up a vehicle, but you will not be able to make reservations independently.
